July 2007 - Vestry Notes

  • A Property Committee has been established to advise the Vestry of needed capital priorities.
  • Rev. Richard Shippee proposed an enhanced welcoming process, including special welcoming training for Parish members to ensure anyone who walks through our door is properly greeted and made to feel very welcome at St. Peters. This will include follow up contact after the service.
  • The Self-Study Committee is progressing nicely. Be sure to answer “The Question of the Week”.
  • The Food Pantry has established summer hours and volunteer staffing. New hours and volunteers will probably need to be re-established for the Fall.
  • Final construction details for Ruffino Hall are in process for our Sunday School opening on September 9.
  • The Sr. Warden noted that a drop off in attendance started in the 2005 time frame. The Vestry will be considering future actions to reverse this trend.
  • A policy on reserving space in Ruffino Hall is being worked on by the Senior Warden for final approval by the Vestry.
  • Our overall financial condition remains in control with a continued small operating surplus for July. The capital building loans of approximately $40,000 are separate from this operating amount.
  • The Habit for Humanity home building coalition project has been endorsed by the Vestry. Diane Nobles is the St.Peter’s coordinator and you will be hearing from her on how you can participate in this endeavor.

June 2007 - Vestry Notes

  • Suggested dedications levels for the specific rooms in Ruffino Hall were approved following a detailed recommendation from Nina Pratt, our Capital Budget Chair.
  • A revised Parish wedding policy was presented by Ann, with all fees and conditions spelled out in detail; these are different for members vs. non-members. Wedding fees remain a great source of income for St. Peter’s, as well as a valued means of outreach.
  • Richard presented Discretionary Fund guidelines, which were approved by the Vestry and should minimize staff concerns about the difficult process of disbursement. Hopefully, income will always be available to support this activity year round.
  • The Self-Study Committee has gotten off to a great start. Beth DiPanni, who has assumed the Chair of this Committee somewhat by default, presented a comprehensive discussion of activities that have taken place and the other individual responsibilities, along with a time table for completion of these activities.
  • The Food Pantry has established new hours and is now staffed by volunteers twice a week.
  • Ruffino Hall needs a simple policy on reserving space. Some parishioners have requested asked about availability and it is important to note that we have not received a formal C/O for this facility, due to added requests from the Town Fire Marshall.
  • Our overall financial condition remains in control with a small surplus for June. However, we have already borrowed $40,000 from the diocese to cover further unplanned construction overages associated with more stringent fire code requirements.
  • In addition to a direct contribution of $1000 to Habit for Humanity, Leo presented a Memorandum of Understanding that will be revised to reflect St. Peter’s actual responsibilities for this endeavor. Diane Nobles will be the St. Peter’s coordinator.

May 2007 - Vestry Notes

  • Richard Shippee’s has a concern on how to handle the Discretionary Fund as there are not enough resources available to meet the demand. This places a tremendous responsibility on the person disbursing the funds and making the decision of how much and to whom. Richard will develop appropriate guidelines for this mission with Linda O’Neill.
  • Richard initiated a discussion on how St. Peter’s should handle the multitude of weddings that are scheduled for the remainder of 2007 and all of 2008. This is a very time consuming endeavor for the people involved and in our time of transition, we need to insure a majority of our efforts are focused on the “Calling” process. Richard asked the Vestry to propose alternative approaches.
  • Richard proposed a Fall retreat for the Vestry
  • A Self-Study Committee of 11 members has been selected.
  • Sue Bush and the Sunday School staff have reorganized the volunteer tasks needed to operate the School in order to facilitate and spread out the responsibilities of this effort.
  • Keep the Food Pantry in mind throughout the Summer season
  • Ruffino Hall will soon be ready for use
  • Our overall financial condition remains in control with small deficits or surpluses on a month to month basis
